For both compliance items and request items, supervisors and administrative users can now submit an item on behalf of another user.  This feature may be helpful when an end user is not able to complete an assigned compliance item or submit a request on their own. 



Submit on Behalf of for COMPLIANCE Items


Once an item is assigned to a user to complete, a supervisor or administrator can submit the item for the user by accessing the user via the Roster and the Actions -> Submit button.  Prior to submitting the item, the supervisor or administrator will need to complete the questionnaire or upload evidence as required.  This can be done in two ways... either by clicking on the Details icon or clicking on the individual evidence icon (paperclip) or questionnaire icon.




Submit on Behalf of for REQUEST Items


In order to submit a request on behalf of another user, the supervisor or administrator should first locate the available request.  



Once the request is located, the supervisor or administrator should click View then select Start Request for Another User button.  Once started on behalf of another user, the supervisor or administrator becomes the managing user.



Next, the managing user should locate the desired user from the Add Users modal and click Save Roster. 




Next, the managing user should complete the requirements and submit for approval. 




Once the request is submitted for approval, it will follow the designated chain of approval.  During the process, both the end user and managing user will be notified via email regarding the approval process.  If follow-up is required on the request item, the managing user will access the item via their My Requests page where items submitted on behalf of another user are indicated with the person icon.




Just like the normal request process, if follow-up is required, the managing user will click the View button and complete the follow-up requirements.  Once submitted, the chain of approval will take place and both the end user and managing user will be notified of any updates.  



At any time, both the end user and managing user can access and view the request item via their My Requests page. 



Important Notes


  • Managing Users are required to complete the entire process for the end user, including the initial request and follow-up.  However, if needed, the managing user can be changed via the Actions dropdown menu on the roster of the request item.



  • Instead of starting a request for another user via the Available Requests page, a Submit on Behalf of button is located across from the roster on each individual request item detail page.
