We continue to add new features and enhancements to Comply based upon the feedback and needs of our customers. Below is a list of the most recent enhancements.  If you have a suggestion on how Comply could be better, please let us know by visiting our Help Desk and submitting a Support Ticket.




Notification Preferences - Admin now have the ability to turn Comply email notifications On and Off 


Administrative users now have the option to not send a Comply notification emails when...


New compliance item has been assigned email


When Administrative users build a compliance item they now have the ability to set an email preference that will notify all users that the item has been assigned. The email preference will default to "Yes" which will send all users a notification email. The new compliance item has been assigned email includes the start and end dates, instructions, person of contact, and a link to the item within Comply.


However, if the email preference is changed to "No" users will not be sent an email notification from Comply that a new compliance item has been assigned. This preference will be saved if you choose to add more users to this item in the future.


Important Note - If you choose to Publish an item in the future and have selected to "Yes" to send a notification email, the email notification is still sent on the date you selected the item to be Published.



Approve user (Request items only) - When approving a user on Request items, the action box will allow you to select Yes or No to send an email notification. The notification automatically defaults to Yes.



Reopen item to user or Approver - If you need to Reopen an item, the action box will allow you to select Yes or No to send an email notification to either the user or the approver depending who you choose to reopen the item to. The notification automatically defaults to Yes. 


Forgive user - If you Forgive a user the action box will allow you to select Yes or No to send an email notification. The notification automatically defaults to Yes.


Disapprove user - If you Disapprove a user the action box will allow you to select Yes or No to send an notification. The notification automatically defaults to Yes.


Remove user - If you Remove a user, the action box will allow you to select Yes or No to send an email notification. The notification automatically defaults to Yes.


History of Notification Preference


Whether an email notification goes out (envelope icon) or not, it is recorded in the History of the item.


The history will now record if email notifications have been elected to be sent or not. If you selected "Yes" to send an email notification the history will now record this action with an envelope icon as seen below.


If you selected "No" to not send an email notification then envelope icon will not appear.





Seat Limits (Request items)


Administrative users now have the ability to set seat limits on Request items. This functionality can be used for any Request item but specifically for register in advance Act 48 in-service events where seats are limited to first come, first serve.


Administrative users have the ability to set a seat limit on request items, as needed. When building a request item the new functionality is listed under "Roster Preference" where you can select Yes or No to setting a seat limit. Administrators can then choose the max number of seats for this event. Once the number of seats are full, requests can no longer be made unless the seat limit is adjusted by the Administrator.

 




Seat taken upon submission


Once an employee makes a request and submits for approval, the seat is automatically taken upon submission.



Displays number of seats available on Request Management and for users on Available Requests


Request items with seat limits clearly display the seat numbers, including the number of seats available and taken for both the Administrator and employees.



Seat limit displays 75% full warning (turns yellow) 


The seat limit display will change color from blue (indicating the number of seats taken and available) to yellow when the seat limit is almost at capacity to identify a sense of urgency that the seat limit is almost met.


Once a seat limit has been fulfilled, users can no longer make requests unless the seat limit has been modified by the Administrator to allow more seats.

When a seat has been taken, the employee will appear on the roster of the request item with a blue chair icon.





Request item Reopened, ability to keep reserved seat


Administrators may need to reopen a request item to an employee so that they can make a correction and resubmit for approval. Administrators also have the ability to keep the reserved seat for this employee when the item is reopened or elect "No" to open the seat so that another employee make take this seat. 


Important Note - The action will automatically default to Yes (keep the reserved seat) unless changed by the Administrator.





Cancel or Disapprove Request with seat limit


When a request that has a seat limit is cancelled or disapproved, the seat automatically opens up.



Person of Contact (POC) is notified when seats are full


The Person of Contact (POC) on the Request item will receive an immediate email notification from Comply when the seat limit has been met.





Act 48 Teachers Report 


Administrative users can now access a new reporting called the Act 48 Teachers Report. The total number of Act 48 hours that a Teacher has been approved inside the Comply software will be reported.

To access this report, go to Reporting --> Act 48 Teachers Report --> View.  Please note that only the hours that have been approved inside the Comply software will be reported.  Hours are recorded according to "Completed Date" of the compliance item.


Important Note:  The Act 48 Teachers Report will default to current calendar year. If you need to view a particular time period you may adjust the dates by choosing the calendar icon and then searching.




Itemized vs Summary Reports


Administrative users now have the ability to view the Act 48 Teachers Report and the Act 48 Paraeducator Report as an Itemized report (details of each individual event name, item type, completion date and hours) or Summary report (total hours only).



Total Hours


The Act 48 Teachers Report and the Act 48 Paraeducator Report now displays the total hours for each employee in addition to each individual item and hours per event.




Teachers and Paraeducators have access to their own Report

 

Teachers and Paraeducators have access to their own Reporting within their Comply portal under the "Reporting" section located on the left hand side. The Reporting displays each individual item, hours per event and total hours earned within Comply.




Indicate credits


The Act 48 Teachers Report will also indicate if credits were awarded for this event. Within the Hours section, the number of credits awarded will appear with a blue highlighted number and C.


Important Note - Awarding of credits is limited to college and university clients.



Reporting - Submitted to PERMS or Not (Paraeducator report too)


The Act 48 Teachers Report also includes a section called PERMS. A clock icon will appear if the user was awarded Act 48 hours for this event. If there is no clock icon, Act 48 hours were not awarded for this event.




The Act 48 Paraeducator Report also includes a section called PERMS.  A clock icon will only appear if the Paraeducator is also a certified educator with a PPID number and has also received Act 48 hours for this event.


If there is no clock icon, the Paraeducator only received Paraeducator hours but not Act 48 hours at PERMS.





Requests - Bulk Archive User Requests


Administrative users have the ability to archive user requests in bulk once a request has been completed. 


To archive users on a request item, check the white box to left of the user's name and status icon to select them and click the "Archive" button in bulk at the top of the submitted requests page. Administrators will then be prompted with an Archive Request box that reads "Archiving these requests will remove it from your active view. Do you wish to proceed? Select Yes or No"


Don’t worry, you won’t lose them. Archive requests are just listed elsewhere to make navigating your Requests list easier. Please note that Archived requests can still be accessed by the Priority filter at the top by selecting "Archived" to view all user Requests that have been archived.
